How the Waitlist Works

When your calendar is fully booked, EverBooking offers clients the option to join a waitlist for their preferred date range. Waitlist entries capture the client's contact information, desired service, and flexibility window so you know exactly who wants in.

Notifying Customers

If a cancellation or schedule change opens a slot, EverBooking highlights matching waitlist entries in your dashboard. You can notify one or multiple clients with a single click. Notifications include a secure, time-limited booking link that reserves the slot for a configurable grace period.

  • Auto-notify: Send alerts instantly when a slot appears.
  • Grace period: Give clients 15, 30, or 60 minutes to claim the opening.
  • Batch invites: Notify several waitlisted clients and let the first to respond win.

Converting to Bookings

When a client clicks the notification link, they are taken to a pre-filled checkout page. If payment is required, they complete it just like a normal booking. Once confirmed, the waitlist entry is automatically removed and the appointment appears on both your dashboard and calendar.

Waitlist Analytics

Track waitlist demand to identify capacity gaps. If certain services or time slots accumulate long waitlists, consider extending hours or adding staff to capture that missed revenue.
